Sessions and schedule
The questions and answers from the app's Help, in full. In the app, it's behind the "?" button and uses the word you chose in Settings (patient, student…); here, "client".
3.1 — Where do I see today's sessions?
The "Today" screen — your default home. It shows current, upcoming, and earlier sessions, all in chronological order.
3.2 — And the monthly calendar?
The "Schedule" tab (calendar icon). Monthly view with a session counter per day. Tap any day for details.
━━ On computers and tablets ━━
In a wide window, the Schedule has three views, at the top: Day (the month with the dots and the day beside it), Week (the week grid, with a block for each time slot; tap a block to open the record, press and hold an empty space to schedule) and Month (each day with its sessions — the time and the name, in the colour of their status; "+N" when they do not fit). Tapping a day in the Month view opens that day. Your choice is remembered.
━━ Several at the same time ━━
On the day timeline (tap a day in the Schedule, or the time in Today), sessions at the same time sit side by side; with more than four, the area scrolls sideways, and the hours stay in place. The week grid fits two per time slot: "+N" opens the list of all of them.
3.3 — How do I cancel a session?
The most practical way: long-press the session (on any screen where it appears) → "Cancel session".
Alternative paths (may vary by screen):
On the Today screen, for an unpaid past session, swipe the card right.
On the Schedule screen, for a past session, swipe right.
Paid sessions can't be cancelled — refund the payment first.
3.4 — Cancel vs no-show — what's the difference?
Cancel = the session didn't happen and doesn't generate billing. Removed from financial calculations.
No-show = the client didn't attend, but the session still generates billing (you held the slot). Counts in statistics and in outstanding amounts.
3.5 — How do I reschedule a session?
Long-press the session card → "Reschedule". Pick a new date/time. The session leaves the original date and appears at the new one.
If the session was already paid, it remains paid after rescheduling. The payment date stays as the day the value was actually received — unless you change it manually.
3.6 — I rescheduled to another month. What happens to monthly billing?
In variable monthly mode, the app warns you: the session leaves the source month's count and joins the destination month, increasing its forecast. In monthly modes, payment is always for the whole month — a session can't be marked as paid on its own. If you don't want this change, reschedule to a day in the same month.
3.7 — How do I create an extra session (outside the recurrence)?
Open the client's profile (tap the name on any screen) → three dots (⋮) at the top → "Add extra session". You choose date, time and value (if different from the default).
The (+) on the Today screen and the one on the Schedule create a new record: for one more session of an existing client, use the profile or the Today card's menu (press and hold).
The extra session appears on the schedule with a green (+) icon next to the client's name, and doesn't modify the main recurrence rule. For billing purposes, it follows the mode configured for the client (pre/post-session, fixed monthly, etc).
Difference vs one-off sessions (2.6): extra is one additional session for a client with a rule; one-off sessions are the whole record without a rule, with sessions scheduled one at a time — the gold lightning bolt ⚡ icon next to the name.
3.8 — Is there time-slot reservation to avoid overlaps?
Yes. When creating a recurrence rule, the app checks for conflicts with other clients using each session's duration (the client's own, or the default from Settings when the client has none). If there's a conflict, you get a warning before saving.
3.9 — What's the default session duration?
60 minutes by default. You can change it in Settings → Default session duration.
Each record can have its own specific duration, different from the app's general default — useful when, for example, most appointments are 50 minutes but a specific client has 1h30 sessions.
3.10 — What does each icon on the cards mean?
Cards on the Today, Agenda, and Clients screens show small icons that signal important traits of the registration or session. Here's what each one means:
━━ Next to the registration name ━━
- ⚡ Gold bolt — One-off sessions. The record has no fixed rule: sessions are scheduled one at a time (2.6).
- "Intake" (or "Trial") label — In intake sessions (2.15): instead of the bolt, while the phase is open.
- (+) Green — Extra session. The record has a rule, but this session was added outside it (3.7).
- 👥 People + number (teal) — Group. The registration has multiple participants; the number indicates how many.
- 🚫 Crossed-out person (amber) — No-show recorded. At least one no-show was marked for this session.
━━ Registration status ━━
- 🐷 Piggy bank (green) — Active prepaid balance. The client has prepaid credit available to offset upcoming sessions.
- ⚠️ Amber triangle — Prepaid balance exhausted. The balance ran out and you haven't seen the alert yet.
- 🏷️ Purple tag — Active discount. This session has a different value from the base (negotiated, partial, etc).
- 🕐 Gray clock — Paused registration. The client is in a temporary pause.
- ⛱️ Amber beach umbrella — Next session falls on a day off or vacation. Warns in advance that the next session of this registration will be cancelled due to a scheduled day off.
- 🔕 Crossed-out bell (light gray) — Notifications disabled. You opted out of pre-session reminders for this registration.
━━ Card gestures ━━
