Documents and receipts

The questions and answers from the app's Help, in full. In the app, it's behind the "?" button and uses the word you chose in Settings (patient, student…); here, "client".

13.1 — What is the Documents module?

It's the tab where you generate receipts, attendance letters and reimbursement forms for your clients. It comes with 7 ready-made templates (detailed per-session receipt, consolidated monthly receipt, simple receipt, attendance letter with session times, Superbill for US insurance reimbursement, Comprobante for Argentina and a generic English therapy session receipt) and you can create up to 2 custom templates on the Free and Essential plans (up to 20 on Premium).

13.2 — How do I fill in my professional info?

Go to Documents → Settings → Professional data. Fields come pre-filled (name, license/registration, tax ID, phone, email, address, city, specialties, business info, currency, default PDF style, header and footer). Only the name is required — everything else is optional and shown on documents only if you fill it in.

13.3 — Why are there fields like CNPJ, NPI, etc?

The app supports several countries (Brazil, US, UK, Canada, Australia, Argentina and others). Form fields change names based on the country you chose — for example, CPF in Brazil becomes SSN in the US and DNI in Argentina. Fill in only what makes sense for you; empty fields don't appear on documents.

13.4 — What are the "Per-client extra details"?

These are extra fields for each client that go into receipts: tax ID, secondary ID, date of birth, address, modality (online/in-person) and full name (if different from the record). Access via Documents → Settings → Per-client extra details. Each client shows a "Pending" or "Filled" badge. Filling is optional — empty fields appear as [placeholder] on the receipt, signaling what's missing.

13.5 — How do I generate a receipt?

Go to Documents → Generate and follow the 4-step wizard: (1) pick the client (or several — multi-select mode up to 10 recipients); (2) choose the receipt template; (3) select the period (defaults to the previous month, but you can pick a custom month or date range); (4) review the preview, adjust session filters (all/paid/unpaid) and export as text or PDF.

13.6 — What's the difference between the templates?

The detailed receipt itemizes each session with date and amount — great for individual reimbursements. The monthly consolidated receipt groups sessions into a single total — ideal for clients on a fixed monthly plan. The attendance letter lists only the dates the client was present, without amounts — useful to justify absences at school/work while respecting professional confidentiality. Superbill (US) is the standard insurance reimbursement form; Comprobante (Argentina) follows AFIP conventions.

13.7 — Text or PDF?

Text: copies to clipboard or shares straight to WhatsApp/email — fast and lightweight. PDF: generates a professional file with structured layout, header (name/license/tax ID centered), receipt body and footer with generation date. On Android there's also a "Save" button that opens the system picker to choose a folder. On iOS, the "Share" sheet already offers "Save to Files".

13.8 — Simple vs Formatted: which one to pick?

Simple: the PDF comes out with the plain receipt text, no decoration — useful when the destination just wants the content. Formatted: structured layout with the title "RECEIPT" in bold, a centered professional identity block in the header and a footer with the generation date — more formal, ideal for handing to the client, an accountant or an insurance company.

13.9 — How do I customize the PDF header and footer?

In Documents → Settings → Professional data, scroll to "PDF header" and "PDF footer". They come pre-filled with what makes sense for you (name + license + tax ID in the header; "Generated by Session Flow" in the footer). Edit freely or clear them so the document comes out without a header/footer. On the free plan, the "Generated by Session Flow" footer is fixed and can't be removed.

13.10 — Can I create my own templates?

Yes. Go to Documents → Templates and tap the "+" button — pick a system template as a base, give it a new name and edit the body freely. The bracketed fields ([client name], [client tax ID], [period total], [today's date], etc.) are replaced with real values when generating; the "Insert field" button adds each one with its name in the template's language; the session fields use the word from Settings ([number of sessions]). The Free and Essential plans support up to 2 custom templates; Premium, up to 20.

13.11 — Can I edit a system template?

Not directly — system templates are fixed so you can always go back to the original. But you can "Duplicate" any system template (from the editor or the long-press menu), give it a new name and edit freely. The copy counts toward your custom-templates limit.

13.12 — The tax ID shows up without formatting, how do I fix it?

Starting in v941 the app automatically masks the professional's and the client's tax ID when generating receipts (e.g. 123.456.789-09 for Brazil), even if the data was originally typed without dots. No need to re-edit anything — open the Generate screen and the document already comes out right.

13.13 — Can I issue a receipt for a whole group at once?

Yes. In Step 1 tap "Select multiple" and check the clients (up to 10 recipients per generation). You can mix individual clients and specific group participants. In Step 4 you decide between "1 concatenated document" or "N separate documents" (one per recipient).

13.14 — Is Documents free or Premium?

Free! You can generate receipts without subscribing. Essential and Premium remove the "Generated by Session Flow" mark from the end of text/PDF, and Premium raises the custom templates limit from 2 to 20. The core feature is available for everyone.

13.15 — Why is the receipt signature different from my name?

They are two separate fields on purpose. "Full name" appears in the receipt body ("I, Jane Doe..."); the "Signature" field is the text under the signature line — many people sign abbreviated (e.g. "Jane D."). If you want them to match, just fill both with the same text in Documents → Settings → Professional data.

13.16 — Does the document adapt when it covers just 1 session?

Yes! System templates use an automatic plural syntax: [session|sessions] becomes "session" when the document covers 1 session and "sessions" when it covers more. You can use the same feature in your custom templates: write [singular|plural] anywhere in the text — e.g. "attended [the session|the sessions]" — and the app picks the right form when generating.
